User guide
Use this guide to find a feature, complete a task, and understand what happens next. You do not need technical knowledge to follow it.
Instructions use the English screen labels. Some labels, such as Collectieven, remain Dutch in the English interface. Your menu depends on the role assigned to your account.
Choose your workspace
| Your role | What you use KPZ for | Start here |
|---|---|---|
| KPZ administrator | Manage members, registrations, invoices, complaints, documents, and organisation settings | Administrator workflows |
| Member | Maintain your organisation and contacts, pay invoices, and download documents | Member self-service |
| Complaints officer | Register and follow up reports, complaints, and disputes | Handle a complaint |
| Umbrella administrator | Manage affiliated members, invitations, and annual confirmation | Umbrella workspace |
| New applicant | Apply for membership and respond to registration follow-up | Registration and access |
Sign in with your email and password. KPZ opens the workspace for your role. If a menu item described here is missing, check that you are using the correct account and ask your KPZ administrator to check your role.
Find a task
- Create a member: enter an organisation on behalf of an applicant.
- Review a registration: approve, reject, or request more information.
- Create and send an invoice: save a draft, check it, then send it.
- Update organisation details or contacts: maintain your member account.
- Pay an invoice: complete payment and check the result.
- Register a complaint: select the member and record the case.
- Upload a document for members: make a file available in the portal.
- Invite an umbrella member: send individual or bulk invitations.
The feature directory lists all application areas, where to find them, and what you can do there.
How to read the instructions
Where gives the menu path in the KPZ application, not in this documentation website. Paths such as /admin/members identify the application screen; use your normal KPZ application address to access it.
Each workflow explains the role, the task, the steps, and the expected result. A saved record, pending request, sent invoice, and completed payment are different outcomes. Check the status shown after an action before assuming the next stage is finished.
If something goes wrong
| What you see | What to do |
|---|---|
| A field error | Correct the highlighted field and submit again. |
| No matching records | Check spelling, clear filters, and check other pages of results. |
| A loading or server error | Read the message and use Refresh or retry when available. |
| A disabled action | Check the record status and any reason shown next to the action. |
| An unexpected redirect after signing in | Check your account and role with an administrator. |
| An action failed after submission | Check whether the record or status changed before repeating it. |
